Information We May Process
Depending on which features of Total Bill you use, the application may process the following categories of information:
Business or shop name, trade address, and contact details entered by you to personalize bills and invoices.
Customer name, mobile number, outstanding balance, credit/debit records, and billing history managed in your ledgers.
Item names, categories, barcodes/SKUs, selling price, purchase price, current stock levels, MRP, and units of measurement.
Invoice numbers, items sold, quantities, rates, discounts, tax amounts, payment statuses, and transaction timestamps.
1.5 Device and Diagnostic Information
To ensure smooth technical performance and crash diagnostics, limited non-identifying technical data may be processed (e.g., operating system version, device model, and Total Bill app build version).
App Permissions & Hardware Access
Total Bill requests only the permissions strictly required to perform specific core functions when you initiate them:
Used solely to scan product barcodes and QR codes for rapid billing and inventory lookup. We do not capture or store personal photos.
Used strictly for Voice Billing when you choose voice entry. Audio is converted to text in real time and is never recorded in the background or stored permanently.
Required to discover and wirelessly transmit print jobs to compatible ESC/POS thermal receipt printers.
Enables generating, saving, and sharing PDF invoices, tax reports, and local database backup files on your request.
How We Use Information
Information processed by Total Bill is utilized solely to deliver and optimize your billing workflow:
- Creating, calculating, and issuing digital invoices and receipts
- Tracking stock movements, low-stock warnings, and inventory valuation
- Maintaining credit/debit transaction history in customer ledgers
- Formatting and transmitting thermal print commands to supported printers
- Facilitating cloud synchronization and automated backups (when enabled)
- Delivering responsive customer assistance and resolving technical queries
Local Storage & Offline-First Architecture
Total Bill is engineered with an offline-first architecture. Your business records, product catalogs, and transactions are stored locally on your device within the sandboxed application environment.
You can create bills, manage inventory, and print receipts without an active internet connection. You retain primary physical custody over your business records.
Cloud Synchronization & Backup
Where cloud backup features are activated by you, selected records are securely synced to our cloud infrastructure to:
- Protect your data against device loss, theft, or hardware corruption
- Allow seamless restoration when switching to a new mobile device
- Enable multi-device synchronization if supported by your subscription tier
If you disable cloud backup, your records remain strictly confined to your local handset.
Thermal Printing
Total Bill supports 58mm and 80mm thermal receipt printers via Bluetooth and USB. When printing, formatted receipt commands (ESC/POS) are passed directly to your connected printer. Total Bill does not collect or transmit printed copies to external tracking services.
Data Security & Encryption in Transit
We apply robust administrative, physical, and technical safeguards designed to preserve data integrity and prevent unauthorized access.
All data transmitted between Total Bill on your mobile device and our cloud servers or authorized APIs is encrypted in transit using industry-standard HTTPS and TLS (Transport Layer Security) protocols. This prevents eavesdropping, tampering, or man-in-the-middle attacks.
7.2 Multi-Layered Safeguards
- Encrypted Communications: Enforced HTTPS/TLS channels for all network traffic
- App Sandboxing: Device data is sealed within Android's secure application sandbox
- PIN-Based Access: In-app PIN security lock options to prevent unauthorized physical device access
- Secure Cloud Infrastructure: Backend data hosting backed by industry-standard cloud security protocols
Data Retention Policy (120 Days)
We adhere to strict data minimization principles. We do not keep cloud data indefinitely:
120-Day Cloud Retention
Cloud synchronization and backup copies are maintained for a maximum duration of 120 days. If an account or backup is inactive, cloud storage records are automatically purged and permanently deleted upon reaching 120 days.
User-Managed Retention
Information saved locally remains on your phone for as long as you maintain the app. You can delete items individually, clear application cache/storage, or wipe all records at your sole discretion.
Data Deletion & Account Removal Rights
You have the absolute right to request the complete and permanent deletion of your data and account information.
Once your deletion request is received and verified, all associated cloud records, account entries, and backup archives are permanently and irreversibly deleted within 15 days.
9.1 How to Request Permanent Deletion

Open Total Bill, navigate to More > Info > About Us, and tap the contact or deletion request option to initiate instant support.
